Pre-Calendar Period

The Pre-Calendar Period allows recognized student groups to reserve space for events to be held in the next semester. The Pre-Calendar Period for Fall 2021 events will be August 5 - 18, 2021.

About the Pre-calendar Period

During the pre-calendar period, recognized student groups will be able to request space in Lerner Hall for the next semester.

Confirmations will be available to view within student accounts EMS accounts and will not be emailed. Please review confirmations carefully for the respective status for each space, per date. Please note, any space listed with a WAITLIST status requires the recognized student group to follow up with Event Management to search for an alternative space and date.

Should you require it, you will be able to email or print your reservation by logging on to your EMS account, going to View My Requests under Reservations Tab, Selecting the event you want to view, and choosing the option on the upper right-hand area which says View/Email Reservation Summary. Event Review

If you are considering planning an event for the first three weeks of classes, you should reach out to your adviser prior to the pre-calendaring period to ask if an event review is needed. This includes events scheduled from September 9 through September 24, 2021.

How to Submit a Pre-Calendar Request

Pre-calendar requests must be submitted through the online space reservation system (EMS). Paper applications are no longer accepted.

  • Go to ems.cuit.columbia.edu
  • Log in using your groups’ user ID and password
  • Under the “Reservations” tab, select the “Recognized Student Group – Pre-calendar” form
  • Provide all necessary details for your request

  • Pre-calendar requests will be accepted for:
    • Lerner Hall

      Fall 2021

      Roone Auditorium will be used as a testing and vaccination site during the fall semester and will be offline. Lerner Black Box (performance groups only), B60 (formerly Party Space), Lerner 555 and Satow will be bookable as events-only spaces.

      • Events cannot be held outside of normal Lerner Hall building hours. Programming is permitted after 5:00 pm Monday - Friday, and all day Saturday and Sunday.
      • Lerner 510 A, B, D, and K
        • Available to the following recognized student groups: ABC, CI, Club Sports, IGC, SGB, IGB, OMA, Hillel and Residential Programs.
    • Undergraduate Student Life rooms
      • The Schapiro Lounge
        • Available Thursday & Sunday, 9:00 am - 11:00 pm; Friday & Saturday, 9:00 am - 1:00 am.
        • Available to the following recognized student groups: ABC, CI, Club Sports, IGC, SGB, IGB, OMA, Hillel and Residential Programs.
      • Schapiro Meeting Room 109
        • Monday-Thursday & Sunday, 9:00 am - 11:00pm; Friday-Saturday, 9:00 am - 1:00pm
      • Broadway Hall Lounge 14th Floor West
        • Available to the following recognized student groups: ABC, CI, Club Sports, IGC, SGB, IGB.
        • Monday-Thursday & Sunday, 9:00 am - 11:00pm; Friday-Saturday, 9:00 am - 1:00pm
        • No activities with dancing or stomping allowed.
      • Broadway 1st Floor Room 120
        • Monday-Thursday & Sunday, 9:00 am - 11:00pm; Friday-Saturday, 9:00 am - 1:00pm
      • Wien Lounge
        • Available Thursday & Sunday, 9:00 am - 11:00 pm; Friday & Saturday, 9:00 am - 1:00 am.
        • Available to the following recognized student groups: ABC, CI, Club Sports, IGC, SGB, IGB, OMA, Hillel and Residential Programs.
           
    • Requests for recurring meetings and rehearsals cannot exceed one per week.
       
    • Outdoor space, Residence Hall Lounges that are not listed, and Classrooms are not available as part of the pre-calendar process, but will re-open for booking requests 1 week before the first day of classes. More information to go out before the end of the semester.
       
    • Students will be allowed to set up Furniture and AV requests through EMS after confirmations have been finalized.
       
    • No student group conferences, on- or off-campus, will be permitted in the fall. Any scheduled conferences should be planned virtually.
