Pre-Calendar Period
The Pre-Calendar Period allows recognized student groups to reserve space for events to be held in the next semester. The Pre-Calendar Period for Spring 2025 events will be October 28, 2024 (beginning at 10am) – November 25, 2024 (closing at 5pm).
About the Pre-calendar Period
During the pre-calendar period, recognized student groups will be able to request space in Lerner Hall for the next semester.
Confirmations will be available to view within student EMS accounts on December 20 and will not be emailed. Please review confirmations carefully for the respective status for each space, per date. Any requests that are in WAITLIST status may be accommodated in alternate dates or spaces. If you would like to find an alternative solution for your WAITLISTED events, the recognized student must follow up with Event Management before January 14. After this date, all unaccommodated WAITLIST events will be cancelled.
Should you require it, you will be able to email or print your reservation by logging on to your EMS account, going to View My Requests under Reservations Tab, Selecting the event you want to view, and choosing the option on the upper right-hand area which says View/Email Reservation Summary. Event Review
If you are considering planning an event for the first 10 days of classes, you should reach out to your adviser prior to the pre-calendaring period to ask if an event review is needed. This includes events scheduled from January 21, 2025 – February 4, 2025.
How to Submit a Pre-Calendar Request
Pre-calendar requests must be submitted through the online space reservation system (EMS). Paper applications are no longer accepted.
- Go to ems.cuit.columbia.edu
- Log in using your groups’ user ID and password
- Under the “Reservations” tab, select the “Recognized Student Group – Pre-calendar” form
- Provide all necessary details for your request

Pre-calendar requests will be accepted for:
- Lerner Hall
- Events cannot be held outside of normal Lerner Hall building hours. Programming is permitted after 5:00 pm Monday - Friday, and all day Saturday and Sunday.
- Wang Pavilion (formerly B60 & Party Space) is strictly available for rehearsals and performances. Available to Performing Arts Groups during the Pre-Cal period.
- Undergraduate Student Life rooms
- Lerner 510 B and K
- Available to the following recognized student groups: ABC, CI, Club Sports, IGC, SGB, IGB, OMA, Hillel and Residential Programs.
- Lerner 510 B and K
- The Schapiro Lounge
- Sunday & Monday, 9:00 am - 11:00 pm; Friday & Saturday, 9:00 am - 1:00 am.
- Available to the following recognized student groups: ABC, CI, Club Sports, IGC, SGB, IGB, OMA, Hillel and Residential Programs.
- Broadway Hall Lounge 14th Floor West
- Sunday & Monday, 9:00 am - 11:00 pm; Friday & Saturday, 9:00 am - 1:00 pm
- Available to the following recognized student groups: ABC, CI, Club Sports, IGC, SGB, IGB.
- No activities with dancing or stomping allowed.
- Broadway 1st Floor Room 120
- Sunday & Monday, 9:00 am - 11:00 pm; Friday & Saturday, 9:00 am - 1:00 pm
- Wien Lounge
- Sunday & Monday, 9:00 am - 11:00 pm; Friday & Saturday, 9:00 am - 1:00 pm

- Lerner Hall
- Requests for recurring meetings and rehearsals cannot exceed one per week.
- Outdoor space and Residence Hall Lounges that are not listed are not available as part of the pre-calendar process, but will re-open for booking requests 1 week before the first day of classes. More information to go out before the end of the semester.
- Classrooms are not available as part of the pre-calendar process, but will re-open for booking requests 3 weeks after the first day of classes (February 11, 2025).
- Students will be allowed to set up Furniture and AV requests through EMS after confirmations have been finalized.
